Document Privacy
Control who can view your documents in LiveBinders and keep sensitive files tied to the binder where they belong.
Private files can only be viewed inside private binders.
LiveBinders lets you mark uploaded files as Private, so they can only be viewed inside the binder where they were added. This paid subscription feature helps teams manage internal resources, restrict file sharing, and maintain context for important documents.
Why Use Private Files?
Keep certain files tied to a binder and restrict access outside of it. Common scenarios include:
-
Internal team guidelines
-
Draft documents under review
-
Reference or semi-confidential materials
How It Works
-
Viewable only in the binder: Files marked private can only be seen inside the binder where they were added. Attempting to open the URL outside the binder shows: “Sorry — the owner has made this document private.”
-
Not indexed by search engines: Private files are protected from Google or other search engines.
-
Owner controls sharing: Only the file owner can add it to other binders. Collaborators must be added explicitly.
-
Hidden in public/unlisted binders: Private files cannot be viewed unless the binder is set to Private.
Subscriber Feature
Marking files as private is available to LiveBinders subscribers, giving you extra control over internal resources while keeping them organized within the appropriate binder.
Compliance Note: Private files help manage access inside LiveBinders, but they do not make your documents compliant with FERPA, HIPAA, GLBA, or other regulated data requirements.
Other Privacy Options
You can combine LiveBinders features with third-party tools to control access:
-
Insert links from Third-Party Cloud Storage (Recommended for sensitive data) – Add content from a secure storage site like Google Drive, Box, or SharePoint. Best for regulated or highly confidential files.
-
Upload Files to a Private Binder – Best for general internal documents.
-
Mark Uploaded Files as “Private” (Paid Feature) – Restrict a file so it can only be viewed inside its binder.
-
Password Protect Files Before Uploading – Adds document-level access control for tighter restrictions.
