Lock Files to Your Private Binder

By LiveBinders

A blue padlock

Not every file is meant for everyone — some shouldn’t leave the confines of where they’re shared, whether that’s a folder or a binder. For many users, folders can be hard to regulate. With LiveBinders, you can restrict files to a particular binder, giving you more control over who sees what. Read on to learn more.

Our private file feature is a paid feature that controls the visibility of a file inside a binder, making it ideal for internal guidelines, drafts, or reference materials.  Ever wondered about someone accidentally sharing a link outside a binder? LiveBinders lets you lock your files to a private binder, so they stay exactly where they belong.

Main Points About the Feature

  • Inside private binders only: Locked files are visible only within the private binder where they were added. Anyone who tries to open the direct URL outside the binder sees:  “Sorry — the owner has made this document private.”

  • Hidden from public/unlisted binders: If the binder isn’t set to Private, locked files won’t be visible.

  • You control sharing: Only the owner can add the file to other binders.
  • Limitations: Private files do not provide enterprise-level encryption and are not suitable for regulated data like PHI, FERPA, or financial information.

If you want to add sensitive documents, consider storing them on your own third-party cloud storage (like Google Drive, Box, or SharePoint) and then linking or embedding them in your LiveBinder. This lets you maintain stricter control over who can access the file while still keeping it part of your organized binder.

Useful for:

  • Teams creating internal training guides or manuals
  • Managers sharing draft policies or procedures
  • Department leaders curating resource collections meant to stay private

This add-on feature restricts file views to your intended binder, making private resource sharing easier than email or shared drives.
